Position Description

Title: Accounts Payable Manager

Department: Accounting

Reports To: Sr. Director, Capital Disbursements and Fixed Assets


Function: The Accounts Payable Manager oversees the day-to-day operations of the Accounts Payable Department for a publicly-traded real estate investment trust investing primarily in focused-service hotels. The incumbent ensures accurate and timely payment of all vendor invoices and implements Accounts Payable process improvements to promote efficiency and strengthen controls. The Accounts Payable Manager also ensures the internal controls environment is in compliance with the SarbanesOxley Act and adheres to Generally Accepted Accounting Principles (“GAAP”), Financial Accounting Standards (“FAS”) and the Company’s accounting practices to ensure that accounting policies, effective controls and efficient procedures are implemented and enforced to safeguard company assets.

Responsibilities:

  • Manage, coach and train accounts payable (A/P) staff
  • Ensure timely and accurate payment of vendor invoices
  • Review and approve all payable entries, ensuring transactions post to the correct accounting period and are booked to the proper general ledger accounts
  • Verify invoices, check requests, capital expenditures, and employee travel expense reports are legitimate documents for payment
  • Examine incoming payables for appropriate signature authorization prior to payment processing as applicable
  • Manage electronic approval workflows and ensure timely payments
  • Oversee weekly check runs, ensuring funds are disbursed from the correct cash accounts, and generated checks are in compliance with internal policies and procedures
  • Initiate vendor payments via ACH/Wire transmission
  • Review and analyze A/P aging
  • Responsible for preparation of A/P weekly/monthly reports
  • Prepare and distribute annual Form 1099s to vendors
  • Oversee document retrieval during accounting audits
  • Assist with Sales and Use tax tracking and provide appropriate support to Tax department
  • Conduct annual performance reviews of A/P staff
  • Assist with systems implementation and special projects
  • Implement and communicate accounts payable policies and procedures to internal staff
  • Participate in recruitment and conduct employment interviews
  • Plan and implement A/P process improvements to promote efficiency and strengthen controls
  • Responsible for other ad hoc reporting and request

Skills:

  • Effective verbal and written communication
  • Ability to manage and maintain confidential information
  • Proficiency using accounting software, preferably Yardi and Yardi Paysca
  • Familiarity with Microsoft Office applications, strong excel skills a plus
  • Ability to be a team leader
  • Strong work ethic, flexibility to work under tight deadlines and extreme attention to detail
  • Knowledge of the hotel or commercial real estate industry is desirable
  • Sales and Use Tax knowledge a plus

Education:

  • Bachelor’s degree in Accounting, Finance or a related field

Experience:

  • 7+ years accounts payable experience
  • 3-5 years supervisory experience
